Contact persons are used in rentingforce for assigning bases / locations, customers and transactions to certain employees. For example, an employee can manage certain customers or can be responsible for a specific booking. All bookings which are made by a customer or take place at a particular base / location can be automatically assigned to a contact person (which is equivalent to one employee access).

The list of contact persons contains all available rentingforce contact logins. For each login it is possible to store the first and last name.

If you want to assign a specific contact person for a booking or a customer, you can edit the contact person directly in the relevant record. The lists, for example, all transactions or all clients can be practically filtered for a specific contact person. So an employee can filter for all bookings, for which he is responsible.

In addition, a standard contact person can be stored in the account settings.
The allocation logic of a contact person to a new customer / agency can take place as follows:

  • Random: a contact person is randomly selected from the list of all active logins
  • Manually: you have to select which contact person is responsible for the customer
  • Automatic: the default contact is selected from the Account Settings

The allocation logic of a contact person to a new transaction (e.g. reservation, booking) can be carried out as follows:

  • Random: a contact person is randomly selected from the list of all active logins
  • Manually: you have to select which contact person is responsible for the transaction
  • Automatic: the default contact person from the account settings or (if set) from the base  / location settings is selected
  • From Customer / Agency: the contact person from the customer / agency record is adopted into the transaction
